We’re also committed to making authentic Polish foods more accessible — and more affordable — for families across the U.S. That’s why we’ve recently lowered our nationwide shipping and packaging costs while maintaining the same high standards of freshness, care, and quality. Every order is still packed with care in an insulated cooler and dry ice to ensure your foods arrive safely — now at a lower cost to you.

2025 Holiday Season Order Deadlines
To ensure your favorite Polish foods arrive fresh and on time for the holidays, please review our order deadlines below. We highly recommend placing your order early to secure your preferred delivery date and avoid higher expedited shipping costs during peak weeks.
Thanksgiving Orders
Regular Order Deadline: Sunday, November 16th, 2025 at 11:59 PM CST
Orders placed by this date will qualify for all regular shipping options.
Polana may offer a limited late-order window beyond November 16th depending on order volume; however, expedited shipping will apply after this date, and availability is not guaranteed.
Please keep an eye on our email announcements or contact our Customer Service team if you miss the regular deadline.
- No Thanksgiving orders will be accepted after Sunday, November 23rd, 2025.
Christmas Orders
Regular Order Deadline: Sunday, December 14th, 2025 at 11:59 PM CST
Orders placed by this date will have access to all regular shipping methods.
If order volume allows, Polana may extend a short late-order window after December 14th; however, expedited shipping rates will apply and fulfillment during this period cannot be guaranteed.
Please look out for our email updates or contact Customer Service if you miss the December 14th deadline.
- No Christmas orders will be accepted after Sunday, December 21st, 2025.
New Year Orders
If you would like your package to arrive in time for New Year’s Eve or New Year’s Day (week of December 29th), we highly recommend adhering to the Christmas order deadline of December 14th.
This ensures access to the most affordable shipping rates and the widest range of delivery options.
After December 14th, only expedited shipping methods may be available, and availability is not guaranteed as our carriers will be closed on Christmas Day and New Year’s Day.
Important Carrier Service Notice
Our shipping carriers — FedEx and UPS — observe the following holiday closures:
- Thanksgiving Day (Thursday, November 27th, 2025):Â Closed
- Christmas Day (Thursday, December 25th, 2025):Â Closed
- New Year’s Day (Thursday, January 1st, 2026): Closed
Both carriers operate on modified schedules on Christmas Eve (December 24th) and New Year’s Eve (December 31st), which may impact pickup and delivery times.
During weeks that include these holidays, regular Ground Shipping (especially for 2-, 3-, and 4-day shipping zones) may not be available. Polana will only offer expedited shipping for those zones during holiday weeks to prevent delays and maintain product freshness.
We kindly ask that you place your holiday orders before the regular deadlines listed above to avoid last-minute shipping restrictions and higher costs.
Important Reminder
While Polana will make every effort to accommodate late orders when possible, expedited shipping options beyond our regular deadlines are not guaranteed. Availability depends on order volume, carrier capacity, and delivery schedules during the peak holiday period.

Ordering & Processing
Polana.com is an online store and the majority of our orders are processed via our website. We do offer other ordering options for those who do not have the option to order online, are experiencing troubleshooting issues with our page or prefer a different method:
- If you prefer to place an order by phone please contact our customer service line at (773)-545-4900. Our phone service hours of operation are as follows: MONDAY: 6:30AM-2:30PM CST | TUESDAY - FRIDAY: 8AM - 4PM CST | SATURDAY - SUNDAY: Closed. If our customer service representatives are busy assisting other customers please leave a detailed voicemail with your contact information and we will get back to you as soon as we can.
- You can also send a message to our customer service email at service@polana.com with a request to order by phone or via email.
Order Confirmation: Successfully placed orders will receive an email confirmation with the order details. Please be sure to check your email inbox after you place your order to ensure that you have received the order confirmation email. Please double check the details in the confirmation email and ensure that you have entered the correct shipping address. We are not responsible for any delays or costs in delivery due to incorrect shipping addresses.
Please note: all the orders are shipped from Chicago, IL every Monday. It takes from 1 to 4 days for orders to be delivered to you. Based on our regular shipping timeline, all orders are expected to arrive by Friday end of day of the week that they are shipped. If you don't receive the order by that day, please contact us via email service@polana.com with the order number.
Shipping Methods & Charges
At Polana Polish Foods, we’re proud to partner with FedEx and UPS to deliver authentic Polish flavors to your doorstep with care and efficiency. Our partnership ensures reliable shipping options that maintain the freshness and quality of your order.
Shipping charges are based on current shipping rates, the weight of products ordered, and the required dry ice to keep items frozen throughout transit. FedEx and UPS provide a live quote during checkout based on your destination zip code and package weight. While the use of dry ice impacts shipping costs, it guarantees your foods arrive fresh and safe, preserving their authentic taste and quality.
To meet your delivery needs, we offer the following shipping options with FedEx and UPS:
FedEx Home Delivery (Ground Shipping) & UPS Ground Â
- Reserved for customers within a 4-day transit zone from Polana’s warehouse.
- Orders shipped via Ground are expected to arrive within 1-4 business days from the scheduled shipping date.
- Please note: To ensure your order arrives fresh and on time, Polana reserves the right to select or switch between FedEx and UPS based on the fastest and most reliable delivery route for your destination. Carrier changes will not affect your shipping cost.Â
FedEx 2nd Day Air
- For customers outside our 1–2 day ground delivery zones, this expedited option offers a faster way to receive your order.
- Packages shipped via 2nd Day Air typically arrive within 2 business days from the scheduled shipping date.
FedEx Priority Overnight
- Available for customers in any transit zone who prefer expedited delivery.
- Orders shipped via Priority Overnight are expected to arrive within 24 hours of the scheduled shipping date.
Important Note: Estimated shipping time is based on the delivery date selected at checkout — not the date your order is placed. When completing your purchase on Polana.com, you’ll be able to choose from available delivery dates.Â
The delivery options shown take into account the time needed for our team to process, pack, and prepare your order with care before shipping.
Polana’s Weekly Shipping Schedule
Shipping Schedule
- To ensure the freshness and quality of your order, all Polana shipments are sent out on Mondays only.Â
- When placing your order, you’ll select from available delivery windows at checkout. These windows reflect the week your package is expected to arrive — not the date your order is placed.
- Orders submitted during the week are processed and prepared for the next available Monday shipping date within the delivery window you choose.
- Transit times (1–4 days, 2-day, or overnight) are calculated from the Monday your order ships, not from the date your order is placed. However, your order is still expected to arrive within the delivery window you selected at checkout, based on the shipping method and destination.
Shipping Rules
To guarantee delivery, we must have proper and complete addresses. Sorry, we cannot deliver to P.O. Boxes or A.P.O and F.P.O. addresses. We'll gladly deliver to rural routes with complete addresses and telephone numbers.
Due to import/export restrictions, we are unable to ship our products outside of the United States, including Canada, Puerto Rico and the US Virgin Islands.
Please note: Polana is not responsible for any package that is lost or stolen after delivery. If your order does not arrive or there appears to be an issue, please contact us within 24 hours of the issue occurring at service@polana.com, so we can assist you as quickly as possible.
Do not discard any items while a case is being investigated. Do not refuse a package. Do not return a package.
Important Information about Changes to Orders:Â Please note that all changes to orders must be communicated to our customer service team by 11:59PM CST the Sunday prior to your order delivery window. Any change requests made after that are not guaranteed.
Change requests must be made via email at service@polana.com or via phone at (773)-545-4900 by these specified deadlines.
To ensure you receive the best possible shipping rate, our system automatically selects the most cost-effective carrier for your order based on your delivery address and service availability.
Depending on your location, your order may be shipped via FedEx or UPS — whichever offers the lowest rate and fastest delivery for your area.
Products Availability
Polana strives to guarantee that the highest quality and freshest products reach our customers. Because of this and because of the seasonality of many of our products, we cannot guarantee consistent stock of certain items. We will happily call you if you have ordered an out of stock item and recommend the substitute comparable products for any out of stock products in your order. If you choose not to have substitutions, we will process with your order without the out of stock item. You will be refunded for any products that are out of stock and not substituted.
Shipping Timeline
Regular Shipping Timeline:Â
Orders are always shipped on Mondays to ensure your products arrive fresh and safe. Delivery times depend on the shipping method selected at checkout:
- FedEx Home Delivery & UPS Ground (for 1-4 day shipping zones): Packages are expected to arrive within 1-4 business days after shipping. The expected delivery time is reflected in the delivery window selected at checkout.Â
- FedEx 2nd Day Air:Â Packages are expected to arrive within 2 business days after shipping.
- FedEx Priority Overnight:Â Packages arrive within 24 hours of the shipping date.
We do not ship any perishable products over weekends or major holidays to guarantee the highest quality and safety of your order.
Shipping Confirmation:Â Please expect a confirmation email from Polana with the tracking number on the day of your shipment. During regular, non-holiday periods if you do not receive an email with tracking information by Wednesday of the week of your shipment please contact us with your order number so that we can check on the status of your order.
Holiday Season Shipping Timelines: We have additional shipping days during holiday seasons. This includes Christmas and Easter. Holiday season shipping days include Mondays, Tuesdays & Wednesdays. Please expect a confirmation email from Polana with the tracking number on the day of your shipment. If you do not receive an email from us by Thursday of your shipping week, please email or call us and provide your order number so that we could check the status of the order. Shipping Time & Product Quality:Â All packages are shipped with enough dry ice to keep products fresh until they arrive at your door. Any delays that may occur after the package leaves Polana's warehouse, are on the part of the shipping carrier; however, our company will do its best to provide solutions if and when delays occur. Refunds or replacements are offered on a case by case basis.
Shipping Refund
Shipping costs are generally non-refundable. If you receive a refund, the cost of the shipping will not be reimbursed.
Exceptions: special cases may necessitate a refund or partial refund. These cases will be assessed individually by our staff.
